What We Seek In Our Director of Operations
the Den seeks a skilled and passionate inaugural Director of Operations to support the day-to-day operations of an entrepreneurial and growing organization. The successful candidate will be a cross-functional systems thinker, capable of managing multiple internal work streams simultaneously, and will be a hands-on senior partner and direct report to the organization’s Executive Director. This key leadership position will infuse additional structure and sophistication into the Den’s activities and achievements. A successful candidate will bring a minimum of 8 years of progressive management experience within a non-profit organization (preferably in the Jewish community), and will be an inward-facing executive with the ability to lead operations, finance, and HR functions. This individual will be a team player who thrives on deepening connections and is enthusiastic about sustaining the Den’s vision for the Jewish future.
Qualifications + Skills
Bachelor’s degree and 8+ years of nonprofit operations experience
Proven track record of results in increasing efficiency and operational management of an organization through creation, streamlining or digitization of processes.
Ability to rapidly transition from highly innovative and strategic to tactical
Excellent problem solving, analytical and organizational skills. Strong attention to detail.
Demonstrates discretion and excellent judgment. Strong communicator, verbal and written.
High level of professionalism in handling sensitive and confidential information
Experience managing office systems
Proficiency with Zoom, Google Drive, MS Office, and calendaring tools
Asana, GiveButter, and/or Salesforce experience a plus
Willingness to work remotely from within the DMV, attending frequent in-person meetings and events throughout the Den’s local programmatic catchment area
Flexibility to work occasional evenings and weekends as needed
Experience working with Boards of Trustees
Commitment to contributing toward the Den’s mission
Knowledge of and experience with the organized Jewish community a plus
Financial Oversight
Maintain and work to further streamline an operational vision, strategy, and goals ensuring that budgets and long-term financial plans align with the growth strategy of the organization.
Partner with professional and lay finance leadership (Executive Director, Controller, and board members) on financial updates, oversee the accounting and financial processes and procedures, and evaluate financial reporting package for accuracy and completeness.
Partner with the outsourced finance team to guide analyses including comparisons of budget and actual revenue and expenses, forecasts, and risk management.
Work in close collaboration with the organization's Finance Chair/Treasurer.
Oversee banking relationships and make recommendations to Executive Director and Finance Chair/Treasurer regarding funds management.
Office Operations/Administration
Define and implement additional operational policies and guidelines for the organization.
Oversee and build upon existing staff evaluation parameters and create templates for job descriptions.
Oversee recruiting and hiring process to ensure effective onboarding and streamlining operations.
Manage internally-facing staff in pursuit of maintaining an excellent work environment by developing a strong, sustainable team by mentoring, developing, rewarding, and retaining top talent.
Work with outside counsel as necessary to further develop HR policies and procedures to ensure equity and compliance.
Actively build relationships with staff to strengthen internal communication organization wide.
Oversee general office management and facilities.
Project Management
Ensure organization-wide processes are in place to help with the effective planning, execution, and monitoring of projects including those related to board management, development activities, and general engagement programming.
Collaborate with staff and leadership to define project goals, scope, timelines, and deliverables for a series of major community-wide programs.
Provide operational support for the rabbinic team’s engagement work, including implementing an organization-wide programming calendar, tracking deliverables for the creation of courses, RSVPs, and program revenue models.
Utilize project management tools (e.g.,Monday, Trello) to track progress, delegate tasks, and ensure accountability across teams.
Manage project budgets in alignment with organizational goals and financial constraints.
Anticipate potential challenges and proactively troubleshoot to ensure successful outcomes.
Regularly evaluate project outcomes and document lessons learned to inform future initiatives.
Maintain a clear communication flow among all stakeholders, ensuring alignment and progress toward organizational priorities.
Work with Executive Director to execute strategic priorities of the Board of Directors by managing and overseeing board committees and responsibilities.
